The Onboarding & Recruitment Coordinator supports the full cycle of the hiring and onboarding process, helping to ensure new employees feel welcome, prepared, and supported from day one. This role is responsible for posting jobs, coordinating interviews, preparing onboarding materials, and maintaining communication with candidates, hiring managers, and new hires. The ideal candidate thrives in a fast-paced, people-focused environment and understands the importance of first impressions and smooth transitions.
Key Responsibilities:Recruitment Support
Post open positions to job boards, career pages, and internal channels.
Screen resumes and coordinate interview scheduling with hiring managers.
Communicate with candidates throughout the recruitment process, providing timely updates and a positive experience.
Conduct pre-employment screenings, including background checks and reference checks.
Maintain applicant tracking and recruitment records in compliance with company policy and applicable laws.
Onboarding Coordination
Prepare and send new hire paperwork, including offer letters and onboarding instructions.
Ensure all new hire documents are completed accurately and on time.
Schedule and coordinate Day 1 orientation and training, including system access and welcome materials.
Partner with department managers to ensure readiness for new hires (workspace, equipment, etc.).
Follow up with new hires and managers during the first 90 days to support retention and engagement.
Administrative and Compliance Tasks
Maintain onboarding checklists and track completion of required forms, training, and policy acknowledgments.
Ensure I-9 compliance and assist with E-Verify submissions where applicable.
Provide updates and reports to HR leadership on hiring progress and onboarding status.
1–2 years of experience in recruitment, onboarding, or HR support (dealership or multi-location experience is a plus).
Excellent communication and organizational skills; strong attention to detail.
Customer-service mindset with a positive, welcoming attitude.
Ability to manage multiple tasks and deadlines in a fast-paced environment.
Proficiency in Microsoft Office Suite; experience with Applicant Tracking Systems, HRIS systems, or onboarding platforms is a plus.
High level of professionalism, discretion, and confidentiality.
